Perception Notes Privacy Policy
Effective date: 24 October 2026
Version: 1.0
Languages: English and Korean. Both versions are meant to say the same thing. If they differ, the English version applies.
1. Who we are
Perception Notes is a mobile app for music studios, their teachers, and the families of their students. It is published by Ipsum Lorem Design & Construction Pty Ltd ("Ipsum Lorem", "we", "us", "our").
Music studios use Perception Notes to run lessons. One example is ON:EUM 온음 스튜디오 in Sydney Olympic Park, NSW. Each studio decides who it enrols, which teachers work with which students, and which features (plan) it uses. We run the app and the systems behind it.
Ipsum Lorem is a small business under the Privacy Act 1988 (Cth), so the law may not require it to follow the Australian Privacy Principles (APPs). Because the app holds children's information, we follow the APPs anyway, and this policy explains how. Each studio is also responsible for the information it enters into the app and for how it handles information outside the app (section 3).
Privacy contact: enquiries@ipsumlorem.com.au.
2. Summary
- Accounts are for adults: parents and guardians, teachers, and studio administrators. Children do not sign in. A parent's or guardian's account acts for each child. The studio creates and updates the child's profile.
- Children's practice videos are the most sensitive information we hold. We store and analyse them on servers in Sydney, Australia. Practice videos are kept while the child is enrolled and are deleted with the child's data when enrolment ends or on a deletion request (section 11).
- AI-written feedback comes from the Claude model of Anthropic, PBC, which processes and stores what we send it only in the United States. Anthropic receives only measurements, the piece details, the language and the instrument, and, to translate a report's feedback into the reader's language, that feedback text. It never receives the video, the sound, a name, or an email address.
- People who contact the studio through its website form or by text message do not use the app. Their enquiry is stored in the studio's inbox in the app, where the studio's teachers and administrators can read it (sections 4.7 and 9.1).
- No ads, analytics, or selling. The app has no ads and no analytics or advertising tools, and we do not sell personal information.
- Your rights. You can ask to see, correct, or delete your information (sections 12 and 13). You can complain to us, and you can also contact the OAIC (section 14).
3. Who this policy covers
- Parents and guardians who hold a family account.
- Students of a studio, both children and adult learners. Adult learners are enrolled the same way as children, as a family of one.
- Teachers and studio administrators.
- People who contact a studio through its website form or by text message ("enquirers"). They have no account.
This policy covers the Perception Notes app and the enquiry inbox behind it (section 4.7). It does not cover a studio's own website, including the page that holds the enquiry form, or how a studio handles information outside the app.
4. Information we collect (APP 1.4(a))
4.1 Parents and guardians
| Information | Details |
|---|---|
| Name | You enter it when you join with an invite code. |
| Email address and password | Used to sign in. Our sign-in provider (Supabase) stores the password only as a one-way hash, and we cannot read it. |
| Language preference | The app's language. The language of the first parent or guardian to join the family is copied to the children's profiles, and feedback is written in that language. Changing your app language later does not change it. |
| Family links | The family you belong to and the children you look after. |
| Messages | Messages you send in the studio chat, and when you last read each conversation. |
| Absences | Absences you report for your child, with any reason you type. |
| Device details for notifications | Only if you allow notifications: a push token and your device's name. A device name can include your own name, such as "Anna's iPhone". |
| Notification records | A log of the notifications the app has sent. |
4.2 Children (students)
| Information | Details |
|---|---|
| Name | Entered by the studio. |
| Studio records | Studio, class, plan, AMEB grade level, whether the student is preparing for an exam (AMEB exam preparation), and weekly lesson times. |
| Practice assignments | The pieces assigned (each piece has an instrument) and the number of practice runs the teacher sets. |
| Practice videos | Recorded in the app. A video shows the child, their hands, and the instrument, and contains the sound in the room. It may also show the room and anyone else in it. |
| Analysis results | Measurements taken from the video, flagged bars, a score, and written feedback where the studio uses it. The measurements are timing, dynamics, expression, whether hands were visible and where on the keyboard, and pitch accuracy for violin and cello. Reports can also show the piece's note range and suggested fingering, which are calculated from the score, not from the video. |
| Teacher comments | Comments that teachers write on a practice submission. |
| Attendance | Check-in, lesson start, lesson end, and check-out times, and a teacher's handover note. |
| Absences | Dates and reasons. |
| Daily notices | Notes from the teacher. They can include photos and videos from the lesson that may show your child, but only while your child has consent for photos and videos in notices (section 7); without it, a notice is text only. Parents and guardians can save or share photos and videos from notices to their own device. Saved copies stay on their device and are not deleted by an account or data deletion in the app. |
| Tuition records | The day of the month tuition is due, a studio note, and which months the studio has marked as paid and when. We do not collect card or bank account details from families. |
| Messages about the child | A studio chat message can be tagged with the child it is about. |
Older student accounts may also hold a guardian contact email entered in their profile settings.
4.3 Teachers and studio administrators
We collect your name, email address, password (stored as a hash), and role. We also hold what you write in the app: comments, notices, messages, handover notes, pieces, and reference music files.
An administrator can enter the studio's bank details (PayID, BSB, account number, account name). The app shows these details in tuition reminders.
4.4 Technical information
- On your device, the app keeps your sign-in session. While a video uploads, it also keeps the upload's progress so the upload can resume. Recordings stay in the app's own storage and are not saved to your photo library.
- Usage records: for each practice video, our systems record the studio's use of the service: the month, the type of analysis, whether an AI summary was written and, if not, why (for example, no consent or no AI seat on the studio's plan), the file size, the processing time and, for an AI summary, the model and how much text it processed. These records apply the studio's plan limits and tell us what the service costs to run. They are linked to the child until the child's information is deleted (section 11).
- Our hosting providers keep technical logs. Supabase's logs record each request to our servers, including the IP address and device or browser details; on our current plan, Supabase keeps these logs for 1 day. Fly.io keeps our analysis server's logs for 7 days, and that server has no direct connection to your device. Our analysis server's logs record the internal ID of each practice submission, and a student or studio ID when a lookup fails. They do not include names.
4.5 What we do not collect
We do not collect your device's location, contacts, advertising identifiers, or payment card details. Before a photo is attached to a notice or set as the studio photo, the app saves it again on the device as a new image file, which leaves out the location and other camera details stored in the original. Videos attached to notices are uploaded as the phone saved them, so they can contain the place where they were recorded if the phone's camera stored it. The app contains no analytics, advertising, or crash-reporting software.
The app can ask for four permissions:
- the camera and the microphone, to record practice;
- notifications, to send you alerts (optional);
- the photo library, only when a teacher or administrator attaches photos or videos to a notice.
4.6 Health information
A studio's absence rules can ask families to report illness in the app (ON:EUM's rules do), so absence reasons and messages can contain health information, which the law treats as sensitive. We use it only to record the absence and its notice time and to tell the studio about the absence. A copy of the reason stays in the notification history (section 4.1) until the child's information is deleted. Please share only what the studio needs, such as "unwell". Giving an absence reason is optional, and in messages you choose what to write. The consent screen (section 7) also tells you that absence messages can include health details. If you choose to include health information, you agree to us holding it for that purpose.
4.7 People who contact the studio (enquirers)
A studio can receive enquiries from people who are not in the app. Each enquiry is stored as a conversation in the studio's inbox in the app. The enquirer does not sign in and does not use the app.
| Information | Details |
|---|---|
| Name | Website form only. Required on the form. |
| Email address | Website form only. Required on the form. |
| Phone number | Website form: optional. Text message: the number the message came from. A number the system recognises is stored in international form (for example +61...). A website number it cannot recognise is not stored as a phone number; it stays as typed inside the message text. |
| Other form answers | Website form only, all optional: age, goal, language, suburb, and how you heard about the studio. They are stored as lines in the message text. |
| Message | The text you wrote, up to 2,000 characters (the form's message, or the text message). If a text message has a picture or other attachment, only the file name is stored, never the picture or file itself. |
| Time | When the enquiry arrived, recorded by our server. |
| Rate-limit record | A coded value worked out from the visitor's IP address (website) or the sender's phone number (text), never the IP address or number itself. It limits one sender to 5 website enquiries or 20 text messages per hour. Entries older than a day are deleted when later enquiries arrive. |
| Message ID (text messages) | The ID the phone company gives each text message, kept so that a message it sends twice is stored once. |
How enquiries reach us:
- Website form: the visitor's browser sends the form to our server. Before the enquiry is accepted, the visitor's IP address and a one-time challenge token are checked with Cloudflare's Turnstile service, to stop automated posts (section 9.2). We do not store the IP address in the enquiry. Supabase's request logs still record it (section 4.4).
- Text message: a person texts the studio's enquiry number. Telstra passes the text, with the sender's number, to our server (section 9.2). A repeat text from the same number is added to that number's open conversation.
5. How we collect and hold information (APP 1.4(b))
We collect information in three ways:
- From you, when you type it, record it in the app, or upload it.
- From your studio, when an administrator or teacher enters it. Examples are your child's name, lesson times, attendance, comments, and notices.
- Automatically, when our systems analyse a practice video or send a notification. Our server time-stamps each chat message, and nobody can edit or delete a message afterwards; the conversation as a whole is deleted only with the family (section 11). This gives the studio a reliable record of events such as when an absence was reported.
We hold information with the service providers listed in section 9.2:
- Supabase provides the database, sign-in, and file storage.
- Fly.io runs the video-analysis server.
Both are in Sydney, Australia. Practice videos are kept in private storage.
6. Why we use information (APP 1.4(c))
We use information:
- to run lessons, including schedules, attendance, absences, and daily notices;
- to analyse practice videos and show reports to families and teachers;
- to let families and the studio message each other, and to send notifications, including telling the studio's staff about a new enquiry;
- to receive enquiries from people who contact the studio, and for staff to reply to them (by WhatsApp, phone or email, outside the app);
- to remind families when tuition is due;
- to create and secure accounts, including sign-in, email confirmation, and password reset.
We do not use personal information for advertising and we do not sell it. The app does not send marketing, and we do not send marketing emails either.
7. Children's information and parental consent
Children from about age 4 are students at studios that use the app. Their information enters the app in two ways: through the studio, and through their parent's or guardian's account. The parent or guardian decides whether to record and upload practice videos.
The studio decides which students do practice homework and recording in the app (students preparing for an exam); for them, the parent or guardian still decides whether practice videos may be recorded. For other students the family sees the studio's notices, messages and schedule.
When a parent or guardian joins with their family's invite code, the app asks them, before they use it:
- (required) to confirm that they are 18 or older and the parent or legal guardian of the children named on the screen (an adult learner, a family of one, confirms instead that they are 18 or older and the student);
- (optional) whether the teacher may attach photos and videos from lessons, which can show the child, to the child's daily notices. In the app only the family and the studio can see them. A family that says no still gets its notices, as text only;
- (optional) whether practice videos may be recorded, stored and analysed as described in section 8. A family that says no still uses the app; recording is off for its children;
- (optional) whether AI-written feedback may be produced by sending measurements to Anthropic (section 8).
We keep a record of each consent: who gave it (with their name, kept even if that account is later deleted), when, which wording, in which app language, and which children it covered. Every parent or guardian of a family confirms the required box once; the family's choices are made by the first one, and are then changed per child. A child the studio adds to the family later has none of these consents until a parent or guardian gives them; the app asks a parent or guardian about that child's photos and videos in notices when they open it. A student's own sign-in cannot give consent. Until 2 October 2026, the practice-video choice also covered photos and videos in notices. Those two are now asked separately; families who answered before are asked again, and until a parent or guardian answers, no photos or videos are attached to their children's notices.
Our servers enforce these choices, not only the app: without practice-video consent, an upload is refused and a video already waiting is not analysed; without consent for photos and videos in notices, staff cannot attach a photo or video to that child's notice; without AI consent, no measurements are sent to Anthropic.
Our servers check the consent of the child a notice is for, not of everyone who appears in a photo or video. So that a child whose family said no does not appear in another child's notice, for example after a lesson with more than one student, the app tells staff to attach only photos and videos that show that student alone; if another student also appears, that student's family must have agreed too. Our servers cannot check this rule. If your child appears in a photo or video in another child's notice and you have not agreed to photos and videos in notices, email us at enquiries@ipsumlorem.com.au and we will remove it.
You can change or withdraw consent at any time, for each child, in Settings → Privacy & consent, or by emailing enquiries@ipsumlorem.com.au. Withdrawing practice-video consent stops new recordings at once. The child's practice videos already uploaded are deleted within 30 days (about a week later, unless you turn it back on before then). The analysis results (measurements and feedback) are kept. Withdrawing consent for photos and videos in notices stops new ones in the child's notices at once; photos and videos already in earlier notices are not deleted by this, and are deleted with the child's data (section 11). Turning off AI feedback stops new AI-written feedback; nothing is deleted.
Tips for filming: Frame the instrument and hands, as the on-screen guide shows (for violin and cello, the upper body and bowing arm). Avoid filming other people, especially other children.
For children: a short summary
- Your parent or guardian has an account that looks after you. You do not need your own.
- When your parent or guardian films your practice, the video goes to your music studio in the app. A computer program listens to your playing and measures things like your timing and your notes.
- Your video is kept in Australia. Sometimes another program writes tips from those measurements. That program never sees or hears your video.
- In the app, only your family, your teachers, and your studio can see your practice results.
- When you stop having lessons at the studio, your videos are deleted.
- If you want something changed or deleted, ask your parent or guardian to contact us.
8. Practice videos and automated analysis
Where a video goes
- The app uploads the video to private storage (Supabase, Sydney).
- Our analysis server (Fly.io, Sydney) downloads the video using a link that expires after 10 minutes. The server extracts the sound, measures the playing, and, for piano on plans with full reports, finds the player's hands in the picture.
- When the analysis finishes, the server deletes its working copies of the video and the sound. The original video stays in storage while the child is enrolled (see section 11).
Who can open the original video
The app does not play practice videos back to anyone. Only the child's family accounts are permitted to access the stored file. Teachers and studio administrators see the analysis results, not the video.
The Ipsum Lorem staff who run the service can also access stored files, only when they need to run or fix the service.
Hand detection
For piano, on plans with full reports, the server runs hand-detection software (MediaPipe) on the frames of the video. It keeps only a summary:
- how often hands were visible;
- which hands were seen;
- the part of the keyboard used.
It does not keep images or frame-by-frame hand positions. We do not use hand detection to identify anyone.
The piece's note range and suggested fingering are calculated from the score, not from the video.
AI-written feedback (Anthropic)
For some reports, we ask Anthropic's Claude model to turn the measurements into encouraging written feedback in the family's language.
- Sent to Anthropic:
- the language and the instrument;
- the piece's title, composer, and difficulty;
- the measurements: timing, dynamics, expression, the hand summary above, the score-based note range and fingering, how closely the notes matched the piece, and pitch accuracy for violin and cello.
- Never sent: the video, the sound, pictures, names, email addresses, account or student IDs, or the studio's name.
- Where: Anthropic, PBC is based in the United States, and it processes and stores what we send it only in the United States. Under Anthropic's commercial terms, it must not use this information to train its models. Under Anthropic's data retention policy, it deletes it within 30 days of receiving it, unless it needs to keep it longer to enforce its usage policy or to comply with the law.
- Translation: when someone opens a report whose written feedback is in another language than their app (for example a parent who reads Korean and a report written in English), the feedback text is sent to Anthropic again, once, to be translated into that person's app language. Only the feedback text and the two languages are sent. The feedback is written from the measurements above and contains no names. The same United States processing and storage, training and retention terms apply.
- Storage: the written feedback is saved with the report. A translation is saved with it, so the report is not sent again, and the original stays available in the app ("Show original"). Both are deleted with the report.
No decisions about you
Scores and flags help students practise and help teachers choose what to review. They are produced by software. Our analysis server measures the sound of a practice video and, for piano on plans with full reports, the hands in the picture; where the studio uses it, AI-written feedback is written from those measurements (see above). No decision about a student is made by software alone. The app does not use scores to set a student's AMEB grade level, exam preparation, plan or enrolment; studio staff set those, and the studio's plan follows its subscription. Teachers can use scores, flags and AI-written feedback as practice aids, for example to choose what to work on in lessons, and we ask studios not to use them to decide exam entry or progression.
9. Who can see information and who we share it with
9.1 Inside your studio
| Who | What they can see in the app |
|---|---|
| Parents and guardians | Their own children's information, reports, notices, attendance, absences, and tuition records, and the family's messages. |
| Teachers | Information about the students they teach. In a family's chat, a teacher sees messages tagged with a child they teach, and untagged messages in the chat of any family with a child they teach. |
| Studio administrators | All of the studio's information, except original practice videos (section 8). |
| Teachers and studio administrators (enquiries) | Every teacher and administrator of the studio can read every enquiry of that studio: the enquirer's name, email address and phone number, and the messages. Families cannot. |
Families cannot see other families' information.
9.2 Service providers
These providers process information for us so that we can run the app.
| Provider | What it does | What it receives | Where |
|---|---|---|---|
| Supabase Pte. Ltd. | Database, sign-in, file storage, live messaging, and the server functions that send notifications | All of the information in section 4 | Sydney, Australia (database, sign-in and file storage). Server functions run in Supabase's region closest to the device that calls them, and live messages can pass through Supabase servers outside Australia. The company is based in Singapore. |
| Fly.io, Inc. | Practice-video analysis server | Practice videos (temporarily), piece details, language, and plan | Sydney, Australia (the analysis server). Fly.io also keeps account and operating information in the United States. The company is based in the US. |
| Anthropic, PBC | AI-written feedback and its translation | Measurements, piece details, language and instrument; for a translation, the feedback text and the two languages (section 8) | United States only (processing and storage) |
| Expo (650 Industries, Inc.), which passes notifications to Apple Push Notification service or Google Firebase Cloud Messaging | Delivers notifications to your phone | Push token, the notification's title and text, a link to the screen to open (for chat, the chat's ID), and delivery receipts | Expo: United States. Apple and Google: their own networks, which may be outside Australia (both companies are based in the US). |
| Expo (650 Industries, Inc.), EAS Hosting | Hosts the web version of the app at perception-notes.expo.app | The IP address and browser details of whoever opens it | Cloudflare's global network, which Expo uses to serve the site (Expo is based in the US) |
| Resend | Sends sign-in emails (confirmation, email change, and password reset) | Email address and the content of the email | United States |
| Cloudflare, Inc. | Hosts the web page that the links in sign-in emails open; checks the website enquiry form with its Turnstile service | The IP address and browser details of whoever opens the link; for an enquiry, the visitor's IP address and the form's challenge token | Global network (the company is based in the US) |
| Telstra | An Australian telecommunications company. It delivers text messages sent to the studio's enquiry number to our system | The sender's phone number and the text of the message | Telstra is an Australian company |
| Google (Google Workspace) | Runs our email, including the privacy contact address enquiries@ipsumlorem.com.au | The emails you send us, our replies, and emails we send you about changes to this policy, including your email address | Google's data centres, which may be outside Australia |
Supabase, Anthropic, Resend, Cloudflare and Google include data-protection terms in their terms with us. Expo's terms say it acts as our processor for personal data in the content we send it where the European GDPR applies, but Expo offers a separate data processing agreement only on its enterprise plan, which we do not use. We do not send these providers the text of chat messages.
Notification content
Notifications appear on your lock screen, and they pass through Expo and through Apple or Google.
- Notifications about a child include your child's name, for example "Mina has arrived at the academy".
- Tuition reminders also include the studio's bank details, with your child's name as the payment reference.
- Chat notifications do not include the message text.
- Enquiry notifications go to the studio's teachers and administrators at any hour. They include the enquirer's name (website form) or phone number (text message), not the text of the enquiry.
You can turn notifications off in your phone's settings. When you sign out of the app on a device, the app removes that device from your notifications. When you sign out of all devices, it removes all of your devices.
Replying to enquirers
Nothing typed in the app reaches an enquirer. Staff reply outside the app: the app can open WhatsApp on the staff member's phone with the enquirer's phone number, or start a phone call or an email to the details the enquirer gave. A WhatsApp conversation takes place in WhatsApp, under WhatsApp's own terms.
9.3 Other disclosures
We may disclose information if the law requires it, or to protect someone's safety. We do not sell or rent personal information.
10. Overseas disclosure (APP 1.4(f) and (g))
Some providers are outside Australia, or may process information outside Australia:
- United States: Anthropic (measurements, piece details, language and instrument, and report feedback text to translate it, processed and stored only in the United States), Expo (notification delivery) and Fly.io, Inc., which runs our analysis server (the server is in Sydney; see below). Apple and Google deliver notifications through their own networks, which may be outside Australia; both companies are based in the United States.
- Singapore: Supabase Pte. Ltd., which runs our database, sign-in and file storage (stored in Sydney; see below).
- Resend: United States (your email address and the sign-in emails we send you).
- Expo web hosting: Cloudflare's global network, which Expo uses to serve the web version of the app (the IP address and browser details of whoever opens it). Expo is based in the United States.
- Cloudflare: global network (the IP address and browser details of whoever opens a sign-in link, and the IP address and challenge token of whoever sends the website enquiry form). Cloudflare, Inc. is based in the United States.
- Telstra: an Australian telecommunications company that delivers text messages sent to the studio's enquiry number to our system (the sender's phone number and the text of the message).
- Google Workspace: Google's data centres, which may be outside Australia (the emails you send to our privacy contact, our replies, and emails we send you about changes to this policy).
Our database, file storage, and analysis server are in Sydney. The companies that run them are based outside Australia: Supabase Pte. Ltd. in Singapore and Fly.io, Inc. in the United States. They could access information from there, for example to support or maintain the service, so we list these countries as places where information may be disclosed. Supabase runs our server functions, such as the one that sends notifications, in its data centre closest to the device that calls them, which can be outside Australia, for example when the app is used overseas. Live messages in the app can also pass through Supabase servers outside Australia.
11. Security and retention
Security
- Information travels between the app and our servers over encrypted connections (HTTPS/TLS).
- Database rules limit each person to the information their role allows (section 9.1).
- Practice videos and notice photos and videos are kept in private storage. The analysis server gets a video only through a link that expires after 10 minutes.
- Our sign-in provider stores passwords only as one-way hashes.
- Our database provider, Supabase, encrypts the information it stores for us (AES-256 encryption at rest).
If a data breach is likely to result in serious harm to anyone, we will notify the people affected and the OAIC, following the Notifiable Data Breaches scheme.
Retention
We keep information while it is needed for lessons at the studio, and we delete it when a child's enrolment ends or when you ask us to. There is one fixed period: after you withdraw practice-video consent for a child, that child's uploaded videos are deleted within 30 days.
- Practice videos: Practice videos are kept while the child is enrolled and are deleted with the child's data when enrolment ends or on a deletion request. Enrolment ends in the app when the studio removes the child. If practice-video consent is withdrawn, the child's uploaded videos are deleted within 30 days and their analysis results are kept (section 7).
- Consent records: kept while the family is at the studio, including the name of whoever gave or changed a consent, so that we can show what was agreed; deleted with the family.
- The rest of a child's information (analysis results, teacher comments, assignments, attendance, notices with their photos and videos, schedules, absences, tuition records, notification history): kept while the child is enrolled, and deleted with the child's data in the same way.
- Tuition records: the app's tuition records are reminders for the studio and the family, not a studio's accounting records. A studio must keep the tax records the law requires, such as bank statements and invoices, outside the app, so the app's tuition records are deleted with the child's data, including on a deletion request.
- Usage records (section 4.4): kept as the studio's usage history. When a child's information is deleted, the records lose the link to the child and the reason no AI summary was written; what remains are the studio's counts, file sizes, processing times and AI usage, which no longer identify the child.
- Your account: kept until you delete it (section 12).
- Studio chat: kept while the family has a parent or guardian account at the studio, and deleted when the family's last parent or guardian deletes their account. If you delete your account while another parent or guardian stays, the messages you sent stay in the family chat without your name.
- Enquiries: an enquiry conversation (name, email address, phone number and messages) is kept for 12 months after the last message, then deleted automatically. We also delete it sooner at the enquirer's request (section 12) or when the studio's data is deleted.
- Staff records: when a teacher's or administrator's account is deleted, their comments on practice videos are deleted. Notices, messages, pieces, attendance records and assignments they wrote stay with the studio without their name.
- Backups: our database provider makes no automatic backups on our current plan. Before each change we make to the database, we make a copy of the production database, keep it for at most 30 days after we confirm the change worked, and then delete it. Until then, information deleted from the app can remain in that copy. These copies do not include stored files such as practice videos and photos.
12. Deleting your information
How to ask
- In the app: go to Settings > Delete account. If the app shows the invite-code screen instead (you never joined a studio, or your studio removed you), tap Delete account there; if it shows the consent screen (you have just joined and not agreed yet), Delete account is at the bottom of that screen — deleting needs no consent. The app shows what will be deleted and asks you to confirm twice; the second time, you enter your password.
- On the web: the page at https://perceptionnotes.ipsumlorem.com.au/delete-account explains the same steps and how to ask by email.
- By email: write to enquiries@ipsumlorem.com.au from the email address you sign in with. We check that the request is yours by replying to that address. We never ask for your password by email.
- Enquirers (no account): email enquiries@ipsumlorem.com.au with your name and the email address or phone number you used. We check that it is you by replying to that address or number, then delete the enquiry. The app has no way to delete an enquiry, so the operator deletes it from the database, within 30 days of confirming it is you (section 12, "How long it takes").
- One child only: to delete one child's information but keep your account, ask your studio to remove the child in the app, or email us.
- A child's practice videos only: withdraw practice-video consent for that child in Settings → Privacy & consent (section 7): the uploaded videos are deleted within 30 days and everything else stays.
What is deleted
- Parent or guardian, when another parent or guardian stays in the family: your sign-in, your profile, the devices registered for your notifications, and your chat read markers. Your children's information stays, because the other parent or guardian still looks after them. Messages you sent in the family chat stay without your name, and absences you reported stay in your child's record.
- Parent or guardian, when you are the family's last one: all of the above, and your children's information too: their profiles, practice videos with their analysis and comments, assignments, attendance, notices with their photos and videos, class enrolments, schedules, absences, tuition records, notification history, and the family chat. The app tells you this before you confirm. A child who has their own sign-in from an older version of the app is not deleted, and the family chat stays with that child.
- Student sign-in (older accounts only): if the family has a parent or guardian account, only the sign-in is deleted and the child's information stays with the parent or guardian. Otherwise the student's own information is deleted too.
- Enquirer: the enquiry conversation: name, email address, phone number and messages.
- Teacher or studio administrator: your sign-in, your profile, the devices registered for your notifications, your chat read markers, and your comments on practice videos. Notices, messages, pieces, attendance records and assignments you wrote stay with the studio without your name. If you still teach classes, they are handed over automatically to one of the studio's administrators, who is told in the app; the app names that administrator before you confirm. A studio's only administrator cannot delete their own account in the app, because the studio would be left without one: they can make someone else an administrator and then delete, or send an in-app deletion request (Settings > Delete account). A deletion request asks us, the operator, to delete the studio with all of its data and the administrator's account; we are notified, we contact the administrator, and we process it within 30 days. Nothing is deleted before then, and the request can be withdrawn in the app until we start.
How long it takes
- In the app: straight away; the app then signs you out. If some stored files cannot be removed at that moment, the app asks you to tap again to finish, and keeps your sign-in until you finish.
- By email: we reply to confirm it is you within 5 business days, complete the deletion within 30 days of your confirmation, and tell you when it is done.
- A studio deletion request: within 30 days of the request.
- Practice videos after consent is withdrawn: within 30 days of the withdrawal.
- Backups: see section 11.
If we ever need to keep something after a deletion request, we will tell you what we are keeping and why.
